The Australian Organ and Tissue Donation and Transplantation Authority (OTA) is committed to using artificial intelligence ethically, safely, responsibly and lawfully.
Our approach is guided by the Digital Transformation Agency’s Policy for the responsible use of AI in government and Standard for AI transparency statements.
Why we use AI
OTA uses AI to improve productivity, communication and access to information. AI can help staff complete routine tasks more efficiently and support the preparation, presentation and analysis of information.
How we use AI
Under the Australian Government’s classification system for AI use, OTA uses AI for workplace productivity and analytics for insights in the corporate and enabling domain.
OTA uses approved AI tools to support:
- content and communication, including preparing, editing and presenting written and visual material
- workplace administration and collaboration, including supporting meetings, task management and internal communication
- information management and research, including finding, extracting, summarising and synthesising information from available sources
- data analysis and presentation, including identifying insights and presenting data in accessible formats.
AI does not make decisions or take administrative action on behalf of OTA. Members of the public do not directly interact with these AI tools and are not significantly affected by AI outputs without human review.
OTA staff remain responsible for checking AI-generated content for accuracy, appropriateness and compliance before it is relied on, shared or published.
How we manage AI
OTA manages AI use through its governance and risk management arrangements. These include:
- oversight by OTA’s Accountable Official
- assessment and approval of AI use cases
- maintaining an internal register of AI use cases
- staff training and guidance
- human review of AI-generated outputs
- processes for managing AI risks, concerns and incidents.
The Department of Health, Disability and Ageing supports the OTA through a Shared Services arrangement, which includes managing the relevant enterprise technology controls for AI services it provides to OTA.
Our commitment
OTA uses AI in accordance with the Policy for the responsible use of AI in government and applicable laws and requirements, including the Privacy Act 1988.
We monitor the use and effectiveness of AI through use-case oversight, staff feedback and the review of identified risks, issues and incidents. We apply safeguards to reduce the risk of inaccurate, inappropriate or harmful outputs.
We review this statement at least annually, when we make a significant change to our approach to AI, or when another factor materially affects the statement’s accuracy.
The Chief Operating Officer is OTA’s Accountable Official for the responsible use of AI.
